Contract: Permanent

DIMENSIONS OF ROLE
Hours: 09:00hrs to 17:00hrs, Monday to Friday (inclusive), including one-hour unpaid lunch on each day worked; making a total of 35 working hours per week.

KEY PURPOSE OF ROLE

The People Operations Specialist is a key role within the People Team, responsible for delivering a seamless and effective people operations service across the Club. Working across systems, processes, reporting and employee lifecycle activities, the role ensures that our people practices are efficient, compliant and continuously improving, while providing colleagues and managers with a high-quality service and support.

KEY TASKS AND ACCOUNTABILITIES

People Operations

  • Manage and continuously improve the employee lifecycle, including onboarding, internal moves and offboarding.
  • Ensure employee records and documentation are maintained accurately and in accordance with GDPR requirements.
  • Prepare employment contracts, offer letters and associated employment documentation.
  • Act as the first point of contact for employee and manager queries relating to people processes and administration.
  • Support payroll processes by ensuring all people-related changes are communicated accurately and on time.
  • Administer employee benefits and associated processes.

HR Systems and Data

  • Act as system administrator for the Club's HR systems and associated people platforms.
  • Ensure the accuracy, integrity and maintenance of employee data.
  • Identify opportunities to improve processes through better use of systems and technology.
  • Support future HR systems procurement, implementation and optimisation projects.
  • Deliver user training and guidance on HR systems where required.

Reporting, Governance and Compliance

  • Produce regular workforce reports, people metrics and dashboards for the Executive Leadership Team, Committees and other stakeholders.
  • Monitor and support compliance activity, including right to work documentation, visa administration, safeguarding records, policy reviews and mandatory training completion.
  • Maintain audit-ready records and documentation to support governance requirements.
  • Support the preparation of statutory and organisational reporting requirements.

Recruitment and Employee Experience

  • Coordinate recruitment administration, including advertising vacancies, managing candidate communications and supporting hiring managers through the recruitment process.
  • Manage pre-employment checks and onboarding administration.
  • Coordinate induction activity for new starters.
  • Support the operational delivery of employee engagement, wellbeing and recognition initiatives.
  • Coordinate staff events and People Team-led engagement activities.
  • Support internal communications relating to people initiatives where required.

Continuous Improvement and Projects

  • Review and improve People Team processes to enhance efficiency and employee experience.
  • Support implementation of People Team projects and initiatives.
  • Identify opportunities to streamline administration and improve service delivery.
  • Support the delivery of wider people and culture initiatives led by the Chief People Officer and People Partner.

PERSON SPECIFICATIONS – SKILLS, EXPERIENCE AND QUALIFICATIONS
Essential

  • Previous experience in HR Operations, People Operations or HR Administration.
  • Strong organisational and administrative skills with excellent attention to detail.
  • Experience of HR systems and maintaining employee records.
  • Experience producing reports and analysing people data.
  • Good understanding of employment-related processes and HR best practice.
  • Strong communication and stakeholder management skills.
  • Ability to manage multiple priorities and meet deadlines.

Desirable

  • CIPD qualification or working towards CIPD accreditation.
  • Experience of i-Trent or similar HR systems.
  • Experience supporting governance, compliance or audit activities.
  • Experience of HR systems implementation or optimisation projects.
  • Experience working within hospitality, leisure, sport, membership or customer-facing organisations.
